Charter management software FAQ Questions & answers.
What Velamari does for your week, from the first enquiry to the owner's statement, and what the device on the boat adds.
Getting Started
Velamari is a charter operations platform. It runs the operator's week in one place: quotes and bookings, changeover day, guest check-in and crew lists, faults and technicians, invoices and owner statements, and what guests say afterwards. A small device on each boat reports where it is and how it is doing, so the boats feed the same platform. Your week stops running on phone calls.
Charter operators, from a handful of boats to a large fleet, whether bareboat, skippered or crewed. It is built for the booking manager who quotes, the base manager on the dock and the operator who signs the owner statements. Each of them gets the part of the week they run.
A booking system knows the reservation but cannot see the boat. A tracker knows where the boat is but not who is waiting for it. Velamari has both, so when a boat is forty minutes late the changeover board reorders itself around its real arrival time. Nobody phones to ask where it is.
No. Take the parts you want, because each one works on its own. The parts you do use share one record per charter, so a booking carries through to check-in, the crew list, the faults, the invoice and the owner statement without anyone typing it again.
No, the dashboard is built for the office and the dock, not for engineers. Your team signs in on their phones with a PIN. The device plugs into the boat and goes on in an afternoon. See how it installs.
Yes, request a demo and we walk you through the product with your own boats and your own week. Bring a real enquiry, or an owner statement you built by hand. There is no commitment until you have seen it work.
Quotes, Bookings & Agents
A request comes in. You price it from your own price list and extras, hold the boat and send the quote in minutes. The guest signs on the quote page. You see every quote out and what has been paid against it. The quote that answers first is usually the one that wins the week.
A page on their phone, not an attachment. It shows the boat, the week, the price and the terms. They can add an extra, hold the boat while they decide, and sign there and then. How to pay the deposit is on the same page, with the booking reference already on it.
No, Velamari does not process money. The guest sees your own payment instructions, the amount, the due date and a booking reference. You record what arrived against the booking. The office can then see who has paid without asking the bookkeeper.
Yes, direct, agency and channel bookings sit on one calendar, and you drag to create one. Every booking shows who has paid, who has part-paid and who has not. A boat cannot be booked twice for the same week.
Yes, in one direction: Velamari reads your fleet, reservations and guest details from Booking Manager (MMK) once a day, with an extra pass on Saturdays. Nothing is written back to Booking Manager. You can keep it as your booking system and use Velamari for the rest of the week.
Not yet, because Booking Manager is the only booking system Velamari connects to today. From any other system, export your bookings to Excel or CSV and import the file. If you use a different system, tell us which one.
Upload the Excel or CSV file. Velamari reads the columns and maps them to boats, dates, guest names, contact details and bases. You check the mapping before anything is imported. For the boats themselves, give Velamari the address of one of your boat pages and it fills in that boat's details from it.
Yes, each agency you work with gets its own way in. They see what is free, what they have booked and what they are owed. The routine availability questions stop landing in your inbox.
Changeover, Check-in & Crew
Every boat coming in and going out over three days. Each one is green, amber or red from its inspections, open faults and guest reports. The office watches it on a TV. The dock sees the same work on a phone. Boats with a Pulse device report their own position, so the board reorders itself around when each boat will really arrive.
On their phones, where team members sign in with a PIN rather than an email address and a password. They see today's boats, work through each boat's inspection checklist, raise a fault with a photo and mark a boat ready. The office sees it change on the board as it happens on the dock.
Guests walk the boat from their phone, with photos and plain words for where things are and how they work. They confirm the inventory and sign. If something is not right, they report it there with a photo, without hunting for someone on the dock. You approve the check-in from the office.
Guests add their own crew before they travel. The phone camera reads each passport and skipper licence, so nobody types a document number. The list is finished before the guests arrive, and nobody at the desk photographs passports on a Saturday.
Yes, a passport that expires within six months of the trip end date is flagged while the guest is filling in the crew list. The six-month buffer is fixed and is the same for every destination. It is an early warning, not a legal check for your route.
On the Water
Every boat where it is, on one chart, with the weather over it and who is aboard. Open a boat and you see its instruments: depth, wind, speed, heading, heel and water temperature, plus battery voltage and whether the shore line is plugged in. What you get depends on what the boat's instruments put on the bus.
Velamari reads the boat's sensor data and flags four kinds of incident: grounding, excessive heel, heavy weather and unusual speed. Each one is stored with the readings that triggered it, the position and the time. A grounding on Thursday and the hull job raised on Saturday then sit on the same boat timeline.
Yes, an incident carries its timestamped readings and its position. You can hand that to an insurer or a surveyor as a record rather than a recollection.
A trip page of their own: where they sailed, where they stopped and the weather they had. They can share the link. Your team gets the log of the charter without anyone keeping one. See a trip page.
Yes, the Pulse keeps reporting with the panel off. It tells shore power from charging from running down, and sends an alert when the shore line drops or a bank runs low. A battery going flat in February is something you hear about in February.
Faults, Invoices & Owners
Whoever finds it photographs it and says what is wrong into their phone. The description is written from the recording. The job lands on the right person with the boat, the charter and the photos attached.
They sign in with a PIN on their phone and see their own jobs, with no email address, no password and no per-seat licence. They log time, add photos as they go and close the job on the boat. The office sees what is still open before Saturday without asking anyone.
No, you issue and fiscalise invoices in your own accounting tool, as you do now. In Velamari you record the invoice against the charter with its PDF, next to what has been paid. Operations can see what was billed and what arrived without asking the bookkeeper.
A statement per period, per boat: what it earned, what it cost and what was done to it. It goes out as a branded PDF, built from the records your team already filled in. The engine hours on it are measured from the boat, not estimated from the calendar.
Yes, owners sign in to a portal and see their boat's calendar, statements, maintenance and guest feedback. They can place a hold on their own boat for a week they want to use it. The monthly questions stop coming to your phone.
Guests & Market
Every guest is asked after the charter: one overall score, then the boat, the check-in, cleanliness, the crew, the check-out and value. Each answer is tied to that boat and that week. A boat that is quietly scoring below the rest shows up as a boat, next to its faults and inspections.
Yes, every guest is in one place with the charters they have taken. A returning guest is recognised, and their history is there when you decide what to offer them next.
Every week we crawl advertised charter prices and availability across the Mediterranean. The aggregates by region, boat class and week out are free at Market Pulse, with no account. Inside Velamari you see your own rates and open weeks against the region you compete in.
The Pulse Device
A small unit that plugs in on board and reports what the boat already knows. Position, heading, speed, depth, wind, heel and water temperature from the boat's NMEA instruments, plus engine hours, battery voltage and shore power. It sends everything over its own 4G connection. On a boat without instruments it runs from a 12V feed and reports position, motion and pressure from its own sensors. Order Pulse devices.
Plug it into the boat's NMEA bus and fix it in place with the mount. It needs a fixed orientation for the heel and motion readings. One cable, one mount, no drilling and no haul-out. Scan the code on the device for the install guide and to claim it to your account.
Yes, the same device fits sailboats and motorboats. With NMEA instruments it reads what the bus carries, engine data included. Without a bus it runs from a 12V feed and reports position, motion and pressure from its own sensors.
Yes, and no gateway is needed either way. NMEA 2000 plugs in through the T-connector, and NMEA 0183 takes three wires from the chartplotter or instrument head to the screw terminal on the device. The install guide lists the tap point by boat brand.
No, the Pulse has its own 4G modem and SIM, so it does not use the boat's WiFi or a guest hotspot.
From the boat's 12V system, through the NMEA backbone or a direct cable. It has its own battery, so it keeps reporting when boat power is off.

Data & Privacy
Sensor data from the boat's instruments: position, depth, wind, speed, heel, heading, temperature and pressure. Device telemetry: cellular signal and battery level. If you use guest check-in or the crew list, guests also enter their own details, including the identity and passport information the crew list needs. That data belongs to you as the operator. We process it on your behalf. See our privacy policy.
In cloud infrastructure in the European Union, and the connection from the device to the platform is encrypted, as is the one from your browser.
Project SeaSense is a non-profit marine science foundation, and Velamari is a proud supporter of it. Every Pulse device contributes anonymised ocean data, such as temperature, pressure and wind, to a research network. Your fleet helps scientists watch the sea while you run your season, and it costs you nothing extra.
